Job Description
The Executive Assistant’s primary responsibility is to assist the CEO and other senior executives in their daily operations. This person communicates with clients, internal stakeholders, and external partners like vendors and customers. All communications and everyday tasks in this position are handled with the utmost discretion and care, and the highest standards of efficiency are upheld.

Qualifications:
- Meeting guests of high-level executives are greeted and shown to conference rooms.
- Help with board meeting setup, such as arranging furniture and preparing materials for displays.
- Creates documents (reports, letters, memos) and uses software (Word, PowerPoint, Excel) to assist in the creation of other documents (presentations, etc.).
- owns the CEO’s calendar management, including meeting scheduling, resolving scheduling disputes, ranking calendar events, and sending urgent requests or modifications to the right people.
- Get the company’s internal and external documents ready.
- Depending on the workload, processes administrative tasks including expense reports and invoices and places orders for office supplies.
- Maintain a high level of organization and initiative by carefully planning every aspect of your vacation.
- ability to multitask well, prioritize work, and stay committed to both short- and long-term goals.
- Manage the executive team’s day-to-day communications, including phone calls, emails, and client interactions.
- Gathers information, conducts analyses, and writes reports for presentation to upper management.
Skills:
- familiarity with standard workplace technologies such as telephones, scanners, fax machines, and photocopiers.
- Ability to function under pressure and in a quickly changing environment (deadlines, etc.)
- Proficient with the Microsoft Office Suite, specifically Outlook, Word, Excel, SharePoint, and PowerPoint.
- Must have worked as an executive assistant for at least two years, preferably in a high-pressure setting.
- Superior organizational, project management, and problem-solving ability, as well as exceptional multitasking abilities.
