Job Description
To ensure harmony, integration, and communication within the organization, the Executive Secretary collaborates with all business divisions throughout the organization. Coordinates with internal and external stakeholders in order to provide timely and customer-focused services. This position is in charge of processing invoice payments and expenditure reports.

Qualifications:
- In the role of personal assistant, plan, initiate, and oversee the fulfillment of clerical, secretarial, and administrative office activities. proactively anticipates the operational needs of the deputy superintendent and superintendent office
- Work with associate/assistant vice presidents and directors, as well as their respective staff members to provide high-quality administrative assistance in a discreet and varied manner. Coordinating and managing the activities of executive assistants, such as calendar management and support, committee and event management and support for meetings, travel coordination and management, and communication with key stakeholders, will depend on the needs and priorities of the organization.
- Interact naturally with various departments of the company to ensure that everything runs well.
- Build and maintain company-wide tools that support the organization’s overall goals by including a variety of strategic, programmatic, and tactical contributions from multiple departments.
- Serve the SVP by writing and revising emails, preparing memoranda, and developing agendas and other communications for meetings and other events on their behalf.
- Provide support in the form of presentation slide decks and talking points, as well as assistance with event planning and documentation.
- The best way to enhance efficiency is to keep a close eye on how many people are needed, how things are going, and how productive they are.
- As a member of the administrative staff, aid in the smooth running of the office on a daily basis. In addition to providing back-up executive level support, this role also includes responsibilities such as receiving guests, maintaining conference rooms, and helping with other assigned tasks.
- handle a broad variety of questions from other municipal departments and authorities over the phone.
- Take part in conferences and take notes, or be notified of meetings as soon as they occur so that the Deputy Superintendent and the Superintendent’s Office are aware of any changes that have occurred in the organization.
Skills:
- In-depth understanding of office technology, including Microsoft products, virtual platforms, and room AV systems; a strong willingness to learn and master new technologies as they become available.
- A person’s capacity to handle many tasks at once, prioritize and manage their time efficiently, as well as a proven ability to meet or exceed project deadlines. A more efficient use of resources
- Consistently provides excellent customer service, pays close attention to detail, and works well in a team environment.
- Make recommendations for process modifications, and implement them if required, based on your past expertise in this area of work
- Experience in a director or executive office with increasing levels of administrative and coordinating responsibility.
