Job Description
We are looking for a highly skilled Senior Administrative Assistant to provide senior executives with highly responsive assistance. You will be responsible for updating calendars, scheduling meetings, arranging travel arrangements, monitoring spending, and organizing building and equipment requirements as a part of the administrative team.

Qualifications:

- Respond to in-person and telephone enquiries about the department, its programs, and activities. Offer fast and effective support to guests. Maintain department supplies and ensure appropriate supplies are available as required. Manage the department’s, programs’, and program faculty’s mail and mailboxes. Maintain all office files to guarantee precise record keeping. To ensure that the office is completely working, you must submit and handle all maintenance and repair requests. Supervise work-study and student assistants to ensure competent job completion and main office coverage.
- Assist current and prospective students in locating campus resources and advisors. Learn program structures and standards, such as checklists and program criteria, to provide basic student counseling. Manage major and minor student papers.
- Monitors the completion rates and timeliness of work orders submitted to Engineering Staff, as well as following up with persons who want status on submitted work orders. Work order delays, completion challenges, or productivity concerns are sent to the Physical Plant Supervisor Specialist for further evaluation.
- The Physical Plant Supervisor Specialist uses this information to keep track of personnel coverage in the department and reroutes work orders as necessary.
- Email and list serves should be checked. Oversee newsletters and other official communications. Maintain department and program bulletin boards, as well as marketing efforts on campus. Make sure to follow the department on social media. Ensures that the department and program websites are well-planned and regularly updated.
- When processing student and part-time job paperwork and professional service agreements, make sure the relevant processes have been followed. Requests for disbursement and reimbursement of travel expenses must be submitted by the specified deadlines. Keep track of monies for administrative units, restricted accounts, and scholarship and reward funds. Submit purchase orders and invoices to cover the cost of goods acquired.
- Manages and keeps an eye on the department director’s schedule, schedules and coordinates meetings, makes travel plans and fills out paperwork for travel reimbursement, and coordinates and schedules department meeting calendars.
- In a fast-paced workplace with several competing objectives, calendar management include responding to all incoming scheduling requests, prioritizing the most critical and sensitive topics or meetings, connecting with all parties, and ensuring that meetings are set up for success.
- Helps Admin Support Supervisor with daily casework, monthly reports, office supplies, postage metering, merchant card reconciliation, invoicing and A/R, and database administration.
Skills:
- There is a high school diploma requirement. Those with a bachelor’s degree, certification, or other training are urged to apply. A minimum of eight to ten years of administrative support experience, especially in an insurance business setting, is necessary, with at least three years in an executive administrative support position.
- At least three years of expertise with the Microsoft Office Suite, including knowledge of Outlook, Word, Excel, and PowerPoint.. Preferable Qualifications:, One year as a supervisor. Microsoft Teams knowledge is desired.
- The department manager must keep correct office records.
- Comfortable dealing with university administration, employees, and faculty Excellent detail, written and spoken communication, and multitasking abilities essential.
- Experience in administrative support jobs, an associate’s degree from an accredited institution, and/or any combination of training and experience that is similar and fits the standards are all examples of acceptable training and experience.
