Job Description
As a Secretary, you will be responsible for providing clerical and administrative assistance in order to enhance office workflow protocols. You’ll aid colleagues and executives by assisting them with information preparation and distribution. You will act as the company’s point of contact for all inquiries, requests, and concerns and will be a vital component of the staff.

Qualifications:
- In addition to dealing with the administrative load, there should be regular or special meetings, reports and inquiries from the subordinate offices. Every time a new administrative procedure is implemented, it should be communicated to the administrative employees in all subordinate offices.
- Refer calls and visits to the proper employees while answering regular phone calls. Send out letters in a timely manner, maintain a mail system, and send out forms.
- A well-maintained and supplied supply of general office equipment (copiers and printers, fax machines and multifunctional devices, etc.) is essential.
- For regular questions about office program(s) or periodic reports, collect information from files or personnel, and forward non-routine requests to the organizational representative or staff. Explain the organization’s office procedures needs, coordinate staff and administrative forms for the office, and send for processing.
- Checking for internal consistency and adherence to corporate policies and procedures should be done on all outgoing papers and communications.
- Requests for information regarding office procedures are answered personally, and it is determined if they should be handled by the appropriate organizational representative or other offices by screening incoming phone calls, visits, and letters.
- If you want to create one-off or customized reports, summaries, or answers to questions, you may choose relevant content from a range of sources such as reports or documents.
- Make a few meetings in advance to make sure you’re on the same page before proceeding. Make preparations to attend conferences and gather any relevant background information ahead of time. Assist with the planning of meetings and the compiling of relevant documentation. I’m able to attend meetings and document or report on what happens.
- Establish essential documentation and educate organization representatives about the topics that must be addressed during conference calls, letters, appointments, meetings, and phone conversations.
- Maintain recurrent internal reports such as time and attendance records, office equipment lists, correspondence controls, and training programs.
Skills:
- It is essential for secretaries to be proficient in Excel and Word in addition to excellent verbal and written communication abilities.
- It is necessary to be able to build and maintain good working connections with coworkers, departments, and members of the public.
- Manage and prioritize many projects while completing assignments on schedule and within budget with little or no supervision. Successfully complete assignments.
- High school diploma/GED; two (2) years of college or business school or similar job experience desirable; and writing skills
- Entering and/or retrieving data through computer, student information system, district finance system, or other automated method are all necessary abilities for this profession.
