Qualifications:

  • Supervises and oversees workers, including scheduling, time cards, and employee evaluations.
  • Belongs to the firm’s administrative operations team, which works on projects and initiatives to improve the provision of services to both internal and external clients.
  • Clerical labor includes composing letters and reports, handling paperwork, responding to inquiries, directing customers to appropriate resources, and scheduling appointments.
  • Supervise the day-to-day running of the office, from scheduling meetings to ensuring that the secretarial, clerical, and other support personnel are doing their jobs well (mail, document reproduction and hospitality)
  • Maintains office services by organizing and monitoring clerical duties, handling communications, developing file systems, evaluating and approving supply requisitions, and assigning and monitoring clerical functions.
  • Provides information to the public regarding the branch’s policies, programs, and processes; this responsibility may require the employee to make a case for a certain course of action to management.
  • handle the building’s upkeep, operate as the building’s main point of contact with local property management, and work closely with the building’s staff and any appropriate internal contacts.
  • Keep the office safe from intruders and up to date with the firm’s legal business continuity obligations.
  • carries out a variety of secretarial, clerical, accounting, file reviewing, and other administrative duties as needed.
  • Set up and run regular company events including networking and charity functions.

Skills:

  • a BA/BS and at least seven years of managerial experience in a medium- to large-sized professional services firm.
  • Ability to stay focused, efficient, and effective in managing multiple priorities and tight deadlines with grace and poise.
  • Top-tier abilities in management, communication, and planning.
  • Familiarity with Microsoft Office (Outlook, Word, Excel, and PowerPoint) and the ability to learn new software quickly are also highly desirable.
  • Able to juggle competing priorities in a high-pressure, close attention-to-detail setting.
