An outgoing, enthusiastic Office Administrator is wanted to oversee daily operations. You will provide assistance with routine office duties and serve as the primary point of contact for all administrative and routine office maintenance issues.

  • Keep the office safe from intruders and up to date with the firm’s legal business continuity obligations.
  • carries out a variety of secretarial, clerical, accounting, file reviewing, and other administrative duties as needed.
  • Maintains office services by managing office operations and procedures, directing communications, developing file systems, reviewing and approving supply requests, and allocating and supervising clerical duties.
  • Oversee all aspects of running the office, from hiring and supervising office staff to ensuring that secretaries, conference room attendants, and other office services are available as needed (mail, document reproduction and hospitality)
  • Manage the care of the building, communicate with the local property management team, and work together with the building’s staff and any appropriate internal connections.
  • Resolves inquiries from the general public regarding the department’s offerings and occasionally makes recommendations to upper management on how to improve certain aspects of the department’s operations.
  • Participant in administrative operations team (projects and initiatives) that improves the quality of service provided to the company’s internal and external customers.
  • Maintains control over employees by keeping tabs on their schedules, time sheets, and performance.
  • Plan and conduct regular staff meetings and office events including client and business development events and charitable-related activities.
  • Performs complex clerical tasks including typing correspondence and reports, processing forms, responding to inquiries, making referrals, and arranging meetings.


  • Proficient in using Microsoft Office (Outlook, Word, Excel, and PowerPoint) and the ability to learn new software fast.
  • At addition to a bachelor’s degree, this position calls for seven years of managerial experience in a firm of similar size or larger in the professional services industry.
  • Excellent organizational, interpersonal, and logistical skills with a track record of success.
  • Multitasking and prioritization skills in a fast-paced, detail-oriented work environment.
  • the ability to multitask and maintain concentration, efficiency, and output under pressure.
