Job Description

The Medical Office Manager is in charge of directing, supervising, and coordinating the work of the clinic’s employees and other operations to ensure that patients get high-quality care. This job is responsible for ensuring that all regulatory efforts, policies, and procedures are adhered to by clinic employees and collaborates with senior management to promote efficient clinic operations.

Qualifications:

  • Every day, a manager at a doctor’s office or a clinic site makes sure that everything is running smoothly. This job is in charge of scheduling and call-offs. It is the job of the medical director to make sure that enough office space, supplies, equipment, and support are available for medical professionals and patient care.
  • Promotes communication and cooperation between the medical staff office and the medical staff service department, as well as among the medical staff of the hospital. High-quality service and professionalism in all facets of the business are both essential.
  • Assures constant availability of office and medical goods ordered. Preparation and adherence to the clinic’s budget is assisted by this position
  • In this job, you will help doctors and patients with a wide range of tasks that deal with patient care management, organization, and communication.
  • Involve the IT department in the preparation of financial report requests to ensure that the reports are accurate and genuine;
  • Work with external payer organizations to resolve reimbursement difficulties and ensure that any payment appeals from the Provider Dispute Process are promptly resolved
  • Responsible for the hiring and training of personnel deployed to satellite locations, as well as performance evaluations, merit increases, promotions and disciplinary actions against employees.
  • Consistently adheres to all departmental and system rules and procedures, including patient confidentiality, as well as any regulatory agency requirements (i.e. OSHA, CLIA, Department of Health, etc.).
  • Managed a budget and operations that were aligned with company goals and fulfilled financial targets by working closely with senior management.
  • Provide input on cost center payroll and direct expenditure, month end financial reporting, receivables levels (days in A/R and aging), cost center productivity, and any departmental long-range strategic goals.

Skills:

  • knowledge and skill in working within an organization’s rules and procedures as well as the capacity to apply those concepts in a range of work settings
  • At least two languages are required for these professions, with a focus on patient and employee safety and security.
  • High degree of managerial qualities, including organizational and communication skills, ability to handle many projects while keeping an eye on deadlines, excellent attention to detail, and capacity to protect confidentiality while dealing with sensitive data are required for this position
  • CPMSM (Certified Professional Medical Staff Management) certification is required during the first year of work and must be maintained afterwards with proper continuing education credits (CEs).
  • Having a good understanding of how patients are checked in, how to bill them, how to keep track of their money, how health insurance works, and how the business office works.
