Under limited supervision, the Secretary skillfully organizes and prioritizes many duties concurrently while completing them precisely and on schedule. The Secretary interacts effectively with employees, suppliers, and other external groups. Additionally, this function requires excellent judgment, a reasonable degree of discretion, and the maintenance of confidentiality.

- Copier/printers, fax machines, and multifunctional devices, among other items, must have regular maintenance and supplies restocked.
- Make preliminary appointments without first obtaining authorization. Make attendance at conferences a priority and, if required, compile established background knowledge. Prepare for meetings and obtain any necessary background material. Attend meetings with the purpose of documenting and reporting on the proceedings. Determine the frequency and duration of the organization’s regular/standard meetings.
- Assemble materials for conference calls and meetings with your team, including agendas, letters, and phone calls.
- Any changes to administrative procedures should be notified to the administrative staffs of subordinate offices, and information from subordinate offices should be sought for periodic or special conferences, reports, and inquiries, as well as to alleviate administrative burdens.
- Prepare customized or one-time reports, summaries, or responses to enquiries by gathering pertinent information from a number of sources, including reports, documents, communications, and other offices.
- The secretary of a corporation should keep track of staff absences, equipment inventories, communication logs, and training programs.
- To react to normal inquiries about office programs or monthly reports, compile data from files or personnel. The organization’s office operations, employee collaboration, and administrative paperwork processing are all explained.
- Handle incoming letters and phone calls, screen visitors, and evaluate whether requests should be handled by the appropriate organizational representative or other offices.
- Respond to normal phone inquiries with standard responses and direct calls and visits to the relevant department. Provide postal services, ensure prompt response from workers, and send out boilerplate letters.
- All outgoing documents and communications should be checked for internal consistency and conformity to business rules and procedures.
- The ability to effectively communicate orally and in writing, as well as knowledge of Microsoft Office, particularly Excel and Word, is essential.
- With little or no supervision, successfully manage and prioritize several projects while completing assignments on time and on budget.
- A high school diploma, two years of college or business school experience, and the ability to write are all required for this role.
- Automated systems may be used to enter and/or retrieve data for students.
- Ability to establish and maintain positive working relationships with employees, departments, and members of the general public.
