Working closely with the Director and Chief of Staff, the Executive Secretary oversees a full-time meeting schedule. Administrative concerns requiring sensitive and private information; readiness to conduct activities connected to emergency activation; willingness to reschedule one’s work schedule to accommodate departmental demands; and performing related duties as needed are among the responsibilities of this role.

Qualifications:
- In addition to helping with event scheduling, keep track of any necessary plans, papers, documentation, and progress reports.
- Help the office function smoothly on a daily basis as a part of the administrative team. Additionally, this position covers duties such as welcoming visitors and maintaining conference rooms, as well as aiding with other specified chores.
- Administrative assistance, like writing and editing emails and memos, drafting memos, making meeting agendas, and more, is given.
- Perform advanced, diversified, and confidential administrative and secretarial support for the associate/assistant vice presidents and directors who are assigned to you. Tasks will vary based on the needs and priorities of the organization. They will include the overall coordination and management of executive assistant activities, such as calendar, committee, event, meeting, and travel support, as well as communication with stakeholders.
- It is essential to participate in conferences and take notes, or to be told of meetings as soon as they take place, in order to ensure that the Deputy Superintendent and the Superintendent Office are aware of any changes that have taken place.
- The Director’s representative communicates with other municipal departments and authorities via phone, which may entail addressing a wide range of inquiries with tact and discretion on their part.
- Plan, initiate, and see through the completion of clerical, secretarial, and administrative office operations in the capacity of personal assistant. Predicts and anticipates the operational requirements of the Deputy Superintendent and the Superintendent Office in a proactive manner.
- Determine inefficiencies in the business’ processes by examining the needs of the workforce, the way things are done, and productivity trends.
- ensure that all business divisions within an organization are working together in harmony, coherence, and communication with one another.
- Establish and maintain tools and activities that support the overall goals of the organization by providing a wide range of strategic, programmatic, and tactical help.
Skills:
