Job Description

This job is responsible for overseeing a full-time meeting calendar while also serving as the Director’s executive assistant. The position requires the ability to make independent decisions on complex and difficult administrative matters involving sensitive and confidential information; the ability to perform duties related to emergency activation; and the ability to flex work schedules to meet departmental needs and perform related duties as required.

Qualifications:

  • Help the SVP with administrative tasks, such as composing and editing emails, producing memos and other communications, and arranging meeting agendas and other communications.

  • Maintain plans, files, paperwork, progress reports, and slide decks for presentations, in addition to assisting with the scheduling of events.
  • Work in an organic manner with all business divisions throughout the organization to ensure harmony, cohesiveness, and communication.
  • Provide sophisticated, diverse, and confidential administrative and secretarial assistance to the designated associate/assistant vice presidents and directors, as well as their staff. Activities will vary depending on needs and priorities, but will include overall coordination and management of executive assistant activities, such as calendar management and support, committee and event management and support for meetings as well as travel coordination and management, as well as communication with key stakeholders.
  • Serve as a personal assistant by organizing, initiating, and seeing that clerical, secretarial, and administrative office chores are completed. Predicts and anticipates the operational requirements of the Deputy Superintendent and Superintendent Office.
  • Deputy Superintendent and Superintendent Office personnel should attend conferences to take notes or be informed on meetings promptly upon their conclusion in order to be aware of any new developments in topics affecting the Deputy Superintendent and Superintendent Office personnel.
  • Stay updated out for ways to improve processes and, as a result, productivity, as well as the demands of employees and the operations they are part of.
  • could use a high degree of sensitivity and judgment in responding to a wide range of problems while dealing with multiple municipal agencies and authorities on the Director’s behalf via phone.

Skills:

  • To be able to do this job well, you need to know about accounting, database, internet, inventory, spreadsheet, and word processing software, as well as order processing and payroll systems.
