Working in tandem with all business groups, an Executive Secretary ensures a sense of coherence, cohesion and openness. Coordination with internal and external stakeholders is provided, with an emphasis on customer satisfaction. Invoice payments and expenditure reports are processed.

Qualifications:
- Communicates with other municipal agencies and authorities on the Director’s behalf via the phone, which may need addressing a wide range of queries with tact and discretion.
- offer administrative support to the SVP, including preparing and editing emails and memos, producing memorandums, generating meeting agendas, and coordinating other communications on the SVP behalf.
- Plan, start, and complete clerical, secretarial, and administrative office tasks in the capacity of a personal assistant. Predicts and prepares for the Deputy Superintendent and Superintendent Office’s operating requirements.
- There should be as many meetings as possible so that the Deputy Superintendent and the Superintendent Office are kept up to date on any changes.
- Establish and manage company-wide tools and activities that support the overall business objectives by integrating different strategic, programmatic, and tactical contributions.
- Provide intelligent, diversified, and confidential administrative and secretarial support to the authorized associate/assistant vice presidents and directors, as well as their personnel. Activities will vary depending on needs and priorities, but will include overall coordination and management of executive assistant activities, such as calendar management and support, committee and event management and support for meetings, as well as travel coordination and management, as well as communication with key stakeholders.
- Provide support in the form of presentation slide decks and talking points, as well as assistance with event planning and documentation.
- Help the office run smoothly and efficiently by providing a high level of administrative assistance as a part of the administrative team. Additionally, normal administrative duties such as welcoming visitors, keeping conference rooms in good repair, and helping with other initiatives are included.
- Always keep an eye out for ways to increase efficiency by keeping tabs on things like employee requirements, operations, and productivity.
- Interact naturally with various departments of the company to ensure that everything runs well.
